Technical Coordinator

Job Introduction

We are looking for a Technical Coordinator, who will:

  • Support the Technical Services Manager (TSM) with the delivery of PPMs for both Sodexo technicians & subcontractors.
  • Be the main point of contact for Service Requests from the customers and generate reactive maintenance work orders and assign to the Sodexo technicians and subcontractors.
  • Ensure that both the planned and reactive works are completed in a timely manner in accordance with the assigned priorities. Bring to the attention of the TSM any works likely to become overdue, in order to minimize failure against KPIs
  • Track asset reliability issues.
  • Generate purchase orders for subcontractors and suppliers and undertake a goods receipting process to ensure good financial management.
  • Assist with QSHE and GxP compliance for all relevant statutory and regulatory obligations, ensuring competence and performance of internal and external resources and maintain assurance of compliance for those assets under Sodexo’s control.
  • Ensure statutory maintenance activities are carried out in accordance with regulations and GSK requirements and standards
  • Ensure the CMMS system (SAP) is kept up to date, any changes to the Asset Schedule and associated job plans
  • Communications and coordination with GSK to ensure maintenance is appropriately scheduled.

Role Responsibility

  • Support to the Technical Services manager for service delivery for all aspects of Sodexo technical activity in the area, interaction with local customers to ensure high level of customer satisfaction and service delivery improvement initiatives. Follow up any customer complaints.
  • Co-ordinate & plan technical suppliers ensuring site availability for work.
  • Meet and great technical suppliers.
  • Ensure third party suppliers provide safe systems of work, risk assessments, method statements, competency certification of individuals ahead of work commencing with time for a competent person to review (48 hours min if PTW/ATW required).
  • Co-ordination and planning for all area tasks also feeding into the site wide planning model, through the use of systems such as SAP.
  • Assessment of supplier technical reports, able to assess reports and ascertain what remedial works are required through discussion with Technical Services Manager and client.
  • Raise quotation for any remedial works.
  • Maintain Computerized Maintenance Management System (SAP) is up to date, ensuring equipment records are accurate, work with Engineers to ensure maintenance routine tasks are correctly reflected on work orders.
  • Maintain a structured filing system for subcontractors, including purchase orders, qualification documentation, service level agreements, and maintenance/inspection reports.
  • Following statutory inspections ensure GSK equipment registers are updated and accurate. E.g. LOLER register
  • Keep accurate files to cover all activities involved with L8 regulations, Gas Safe and FGAS records.
  • Updating Sodexo system to track equipment registers to meet requirements of tracking fulfill Sodexo statutory maintenance procedures and policies, to ensure audit ready.
  • TECO and close out work orders where no remedial actions are required on third party service reports.
  • Work with Finance team to close out chargeable work orders and ensure suppliers are fully paid.
  • Liaise with 3rd party subcontractors to make sure all works are carried out in accordance with quoted works.
  • Maintain a stock and parts inventory system
  • Duties to be undertaken in a timely manner to ensure smooth operational performance.
  • To carry out any other reasonable request to support the Sodexo team.

  • A highly customer focused individual, motivating and driving performance in teams to deliver high standards of service and cost effectiveness.
  • The role holder will have an understanding of technical application and processes, with the ability to transfer skills across both technical and soft disciplines.
  • An understanding of risk management and QHSE, the methods employed to manage risks, hazards and controls.
  • The role holder will have a grasp of all the services delivered by IFM and will understand their impact on their customers.
  • The role holder will have a good understanding of a heavily regulated environment.
  • The role holder will have an understanding of the customer business operations for their area, and will understand the operating model of the GSK business.
  • To have a good understanding of Computerized Maintenance Management Systems, ideally SAP.
