Technical Administrator

Job Introduction

We currently have an opportunity for a Technical Administrator to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • Own the logging and management of all work orders and reporting done through the CAFM system Global Maximo
  • Raising purchase orders, goods receipting, posting, reporting and running regular reports on SAP
  • Using E Prophit to process invoices, stock taking and control, entering cash sales, and accepting deliveries and create trading returns.
  • Use Verifone Systems for Amex charging – charging corporate hospitality to the customer for services provided.
  • Use of Global Maximo for PPM planning and monitoring, producing work orders for regular maintenance tasks and following these up to ensure completion
  • Requesting quotations from Suppliers for PPM’s and Reactives and following these up in terms of raising purchase and work orders for approved works
  • Updating Works Programme plans and scheduling future works
  • Liaising with Command Centre to ensure both Planned and Reactive works are completed to agreed SLAs
  • Chasing deliveries and invoices with both suppliers and contractors.
  • Chasing Certification for work undertaken by contractors in respect of statutory compliant work such as health and safety, safe working practices, hygiene, cleanliness, fire and COSHH.
  • Chasing RAM’s for accepted quotations for one off works or planned project works.
  • Updating CAFM systems with status of jobs ( Global Maximo) and also entering names of assigned jobs and time taken to undertake the job.
  • Closing jobs down, checking parts and variations are charged out to the client on a regular monthly reporting basis and as and when required.
  • Keeping on top of PPM and reactive tasks and prompting engineers to prevent them failing against agreed SLA’s
  • Full knowledge and use of Soft services trading systems, and proficient use in these systems
  • Use of Back office till systems – EPOS
  • Minute taking at client and Sodexo meetings, as and when required
  • Creating Variation orders and submitting them to client for approval, then updating the Variation order
  • Raising invoices to client as per works completed
  • Any Administrative duties required to assist in the smooth running of the business
  • Operate the Till in the catering facility and assist with service as and when required

Essential

  • Use of all Microsoft office systems
  • Excellent business acumen
  • Must comply with client security regulations and clearance requirements
  • Excellent organisational skills
  • Smart professional appearance
  • Assertive and persistent manner

 

Desirable

  •  SIA licence
  • Driving licence
  • Disclosure Scotland security clearance or DBS security clearance
  • Global Maximo super user
  • SAP trained
  • IOSH or equivalent

Package Description

Monday - Friday flexible hours between 9am  - 4pm as per business requirements, total of 30 hours over a 5 day period

Uniform provided

28 days holiday to include 8 bank holidays
