Job Introduction

We currently have an opportunity for a Site Lead FM Services to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • To ensure that all required training in relation to all aspects of the catering service including GREAT & passport training is delivered & up to date.
  • Ensure that all recruitment procedures & policies are adhered to.
  • Responsible for work allocation to the teams & managing rotas, holidays & sickness.
  • Managing monthly budgets for labour & expenses.
  • To ensure that all SLAs are met.
  • To ensure UBHC audits are met.
  • To collate and process information in relation to payroll.
  • Report any customer complaints or compliments & take the necessary remedial action.
  • Conduct return to work meetings with staff absent from work.
  • Carry out investigations when policies have not been followed & conduct has not been in line with company procedures.
  • Compile & hold regular team meetings & huddles, feeding back information to absent staff.
  • Ensure uniform standards are adhered to for yourself & the rest of your team.
  • Ensure safe working practices are in place & adhered to & train staff to a competent level.
  • Arrange cover in other areas during periods of holidays & sickness.
  • Carry out other reasonable tasks as directed by management.
  • Conduct half yearly & annual PDRs with staff & action appropriately.
  • Ensure quarterly electrical checks are completed & remedial action taken if any faults found.
  • To liaise with Sodexo Management & Kimberly Clark Facilities Coordinators as necessary in order to ensure the provision of an efficient and effective service.
  • To report any health & safety hazards/ concerns, building or maintenance faults to the Facilities department & take remedial action where necessary.
  • Report any faults found to the relevant support team e.g. local IT support, KC approved AV specialist. Arrange and supervise repair and maintenance visits as required.
  • Ensure MFD meter reads are recorded monthly & check quarterly invoices.
  • Maintain & monitor KC shared stationary cupboards.
  • Ensure Housekeeping, Fire & H & S are being completed and make onsite FA/Co-ordinator aware of identified problems.
  • Ensure Concierge staff hold current First Aid at work certificates & SIA licences as in KC/ Sodexo contract.
  • Liaise with the Catering & Cleaning heads on site, holding weekly meetings if applicable. Escalate any problems to the Group/ Deputy Group Manager.
  • Check first aid incidents are correctly reported in site accident books. Sodexo Incident, accident, near miss form to be completed onsite & online & monthly figures to be forwarded to Group/ Deputy Group Manager.
  • Ensure correct number of Fire Marshals are appointed and correctly trained for the site and maintain up to date Fire Marshal information, plans and lists.
  • Ensure that up to date information is displayed on site notice boards.
  • Organise quarterly Corporate Organisation Directory (COD) photo sessions.
  • Check and collate data from postal invoices and hospitality requests. Create re-charge journal and send onto FA/Co-ordinator.
  • Organise desk moves, liaising with Facilities Coordinator & KC departments.  
  • Top up franking machines with authorisation from the FA/Co-ordinator.
  • Monitor Post room, Facilities & Reception mailbox and ensure requests are actioned.
  • Complete any admin/additional tasks requested by FA/Co-ordinator.
  • Oversee provision of full Reception duties including concierge, visitor monitoring, security, meeting room bookings, and taxi arrangements as requested.  
  • Oversee communications coming to the Facilities mailbox & ensure tasks are delegated & actioned appropriately.
  • Telephone lists are updated monthly & communicated to FM team.
  • Day to day liaison with teams ensuring teams are briefed on internal or external information/security risks, access requirements and other activity.
  • CCTV/Access Control/Intruder Alarm – ensure correct operation and co-ordinate maintenance/service requirements.
  • Support by creating and issuing Access Passes, organise new desk set-up, name plate, request new telephone extension number, chair etc.
  • Ensure that leavers access passes are deleted from access control system.
  • Oversee the management of archiving, including holding, retrieval & disposal.
  • Review and manage the completion of the Daily Occurrence Book. Highlight any issues to the FA/Coordinator.

Package Description

  • The successful candidate should have a soft services background, excellent communication and relationship skills is a key requirement.  The individual will be based at Chivas House (Hammersmith) with responsibilities for Chivas Hammersmith  and Chivas Beefeater, with a view to support the Site Lead at Heineken London. 
  • Flexible working required due to early morning, day and evening shift requirements across the Chivas sites.
