Job Introduction

We currently have an opportunity for a Catering Administrator to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • To support the delivery of all service offers on site through accurate accounting and record maintenance.
  • To provide a confidential and efficient administration service to the appropriate area of the business, ensuring tasks are completed on time.
  • To support a “one team” ethos by working with and within all onsite departments as required including the extended region administration team.
 
  • Raising variation orders and purchase orders for both Soft and Hard services for sites within the Farnborough cluster
  • Maximo system: full use of the system to assign work orders, updating logs, creating and assigning PPMs and running weekly reports.
  • eProphIT: complete all trading procedures for site accounts on a weekly basis, to Company standards and policies.
  • Complete weekly payroll processing for all UDC employees as approved by site management team.
  • Ensure the IMS for site is kept up to date, relevant and correct; and that the online and hard copies match. Monthly audit of records. Permit registers updated and uploaded each month.
  • Ensure site training records are kept up to date and managers follow the training plan. Book any off site training as required.
  • Collation of data required for the FM Operations Manager to complete the Client Monthly Reporting and support of the creation of the monthly reporting presentation.
  • Complete monthly client billing for required accounts
  • Co-ordination of meeting set ups and support
  • Supporting management in the New Starter process including inductions.
  • To support on site managers with meetings and minute taking where required.
  • To maintain personnel files for site, ensuring accurate and up to date information is held appropriately.
  • Complete weekly cash records, cashing up and banking in accordance with Company procedures.
  • Attend weekly meetings and training courses as required.
  • Support with internal and external audit requirements and completion, including actions resulting from audits.
  • To place orders with suppliers as approved by site management.
  • To support Technical Services on site with contractor supervision and escorting.
  • Learn and cover over other roles within the group as required including holiday cover and day-to-day operational support

The Ideal Candidate

Essential

  • Excellent IT skills and competency in using all Microsoft Office applications
  • Passionate about moving business forward and personal development.
  • Excellent interpersonal skills and ability to communicate at all levels.

 

Desirable

  •  Previous experience on multi service site.
