Job Introduction

We are currently seeking a highly talented and driven person to work in the one of our Dublin sites.

We are looking for someone with excellent organisational skills, the ability to prioritise their workload and have the ability to communicate effectively with a range of audiences.

You will be working as part of a team but you will at times be expected to work independently and under your own initiative.

Role Responsibility

To provide security/reception services in the office :

  • As the first point of contact for visitors, staff and the public be professional, pleasant, friendly, courteous and helpful at all times whilst carrying out duties to the highest levels.
  • Greet visitors and staff in a friendly and courteous manner.
  • Manage internal security including access control and CCTV  cameras, liaise with Landlords security who are responsible for external and car park security
  • To deal efficiently and effectively with emergencies including fire and bomb scares ensuring building occupants are kept fully informed at all times.
  • Provide assistance to third party contractors / visitors ensuring all site procedures / policies are adhered too.
  • To liaise closely with statutory authorities, dealing with incidents and the provision of information.
  • Maintain continuous monitoring of site radio systems as applicable adhering to correct radio procedures at all times.
  • Diligent management and maintenance of site records / reference materials including Health & Safety records, Incident Forms and the site occurrence book
  • To ensure exemplary standards in personal grooming, strictly adhering to the site uniform requirements.
  • Issue badges and maintain visitor log.
  • Arrange site inductions
  • Manage Facilities Helpdesk.
  • Responsible for employee badge management.
  • Arrange taxis as and when required.
  • Managing switchboard to company standard
  • Ensuring telephone messages are passed on correctly.
  • Handle calls from the media and comply with company policy, directing to authorised personnel only.
  • Maintaining stationary levels as agreed, placing orders once a month.
  • Managing the post, including registered post, Swift post and Couriers
  • Update postage rates on franking machine
  • Ensure couriers are charged to correct cost centre to avoid incorrect billing.
  • Booking and communicating travel and accommodation arrangements as required.
  • Update of fire evacuation sheets to ensure all employees are captured.  Print reports and communicate with fire brigade.
  • Manage full Fire evacuation protocol act as Fire Marshall.
  • First Aid & Defibrillator trained.
  • Manage Dawn Raid situations
  • Mail merges/mail outs as and when required and provide administrative support to all departments.
  • Assist in the staff shop when required.
  • Ensuring reception area is kept clean, tidy and free of any clutter.
  • Notice board management.
  • Parking management
  • Manage Staff Health and Wellness appointments
  • Undertake any other reasonable duties as required to meet the needs of the business

The Ideal Candidate

Essential

Hold a PSA licence.

Good standard of general education and qualifications

PC literate in Microsoft applications (including Outlook, Word, Excel & PowerPoint)

Experience

Proven experience within a similar role (not less than 1 year). 

Have worked in an environment where confidentiality is important
