SPS Branch Office Administrator

Job Introduction

We currently have an opportunity for a SPS Branch Administrator to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • Collection of mail from within the Bde HQ building
  • Review and highlight all mail received in the Microsoft group mailbox by means of utilising the individual flag system
  • Prepare and collate all administration orders, inspection question sets and reports for the branch prior to any Liaison Visit (LV) or G1 Support Inspections (G1SI)
  • Answer all telephone messages and pass information to the respective branch member on their return
  • Assist in the liaison via email and telecoms with the Bde units and Higher Formations
  • Develop a good understanding of the Data Protection Act and Freedom of Information Act
  • Collate all unit monthly returns and forward to the SO2 SPS
  • Assist the SO2 SPS in the collation and onward dispatch of the quarterly report to higher formation
  • Maintain and housekeep the branch MOSS filing system
  • Maintain the branch MS database
  • Assist in the maintenance of the branch manning database
  • Assist in the photocopying, faxing and scanning of documents as required
  • Maintain the SPS personnel files
  • Maintain the branch MOSS shared calendar, including updating specific inspections and meetings by the branch team
  • Book transportation and accommodation requirements for the branch team
  • Order and control of the branch stationery holdings
  • Control the admin requirements for any interviews required by the SO2 SPS
  • Maintain the Bde HQ MOSS staff tracker for branch personnel
  • Control the temporary booking out process for the branch staff
  • Control the branch MOSS tasking sheet in conjunction with tasks that are sent from higher formation.  This includes the collation of unit responses and the assistance of the branch response
  • Any other Ad-hoc tasks commensurate with the grade as required by the branch staff
 

The Ideal Candidate

Essential

  • 2 GCSEs at Grade C or above, or NVQ Business Administration Level 2 or equivalent
  • Good IT skills (Microsoft Excel, Outlook and Word in particular)

Desirable

  • Knowledge of military IT systems and environment
  • Good communication skills; both written and verbal
  • Ability to organise and prioritise workload within changing priorities and deadlines
  • Ability to work in a virtual environment, self-motivated, highly communicable personality
  • Ability to deal with all military ranks
  • Ability to work in a team
  • Good problem solving and analytical skills
  • The understanding of relevant MOD and parliamentary procedures
