Job Introduction

We currently have an opportunity for a Receptionist to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • Meet and Greet visitors to HUM in a courteous and professional manner
    • Meet & Greet
    • Contact visitor sponsors in a timely manner to notify sponsors that their guests have arrived in reception
    • Ensure Visitors have a ‘Visitor Pass’ and those with Cars, etc. have passes for their
      • vehicles, if not issue them with one
    • Sign Visitors In & Out and collect passes
    • Fax/email Visitor Sign-In Sheet to Security Twice Daily
    • Fax/email Genba Entry Forms to Security
  • Maintain an efficient switchboard service and update the HUM telephone directory as instructed / advised and to report any problems with the switchboard to the Catering Manager (review of service contract)
  • Assist in maintaining a minimum stationary stock as dictated by HUM and place orders via the HUM Approved stationary supplier as necessary
  • Perform light Administrative duties as directed / required whilst maintaining a watchful eye on visitors and keeping the workstation and reception area clean and tidy
  • Record the number of visitors each day through reception
  • Water Plants
  • Responsible for meeting room bookings, ensuring rooms have the required equipment, clean,
    • tidy, check if refreshments are required
  • Report any defects in relation to meeting rooms to relevant department (i.e. broken chairs, electronic whiteboards not working etc)
  • Photocopying (i.e. Associates dropping in Fit notes normally want a copy)
  • Printing off and/or photocopying forms for Associates (i.e. Change of Bank Details, Personal Details, etc.)
  • Dealing with Emergency calls from Associates’ families etc.
  • Getting signatures for items left by Corporate Communications / others
  • Printing off ‘Return to Sender’ labels for Reception and Security
  • Holder of Stationery Keys. Liaise with security in relation to orders in respect of what is required in the meeting rooms
  • Holder of the keys for the display car in Reception
  • General Queries (i.e. issues with Honda Product they have purchased, etc.)
  • Reporting any problems with toilets or reception area (i.e. no toilet paper, lights not working, etc.)
  • Ordering taxis – visitors / associate requirements following HUM policy
  • Carrying out any administration duties as required in relation to collating / preparing monthly reports
  • If international calls are required – switchboard need to dial and route through to the required extension
  • Any other tasks as deemed appropriate to the role to support the smooth operation of HUM
 

The Ideal Candidate

  • Computer literacy to ECDL Extra standard or good Microsoft Office Experience – Excel / Word / PowerPoint
  • Good organisational and time management skills
  • Strong attention to detail
  • Ability to prioritize tasks  and  to work on one own
  • Personable nature
  • Excellent telephone manner and experience of switchboard equipment
  • Ability to confidently interact with all levels of staff within HUM and Sodexo
  • Ability to embrace DLS as necessary
  • Ability to work flexibly within the reception working hours
 

Package Description

  • This is a 12 month maternity cover position working on a job share basis as a receptionist
  • Working 23.5 hours a week with flexibility and so covering for holidays and sickness.
  • The reception is 'open' from 07.45 - 17.00, Monday to Thursday and on Fridays from 07.45 - 15.00
  • Previous reception and switchboard experience required
  • Computer literacy to ECDL Extra standard or very good Microsoft Office experience using Excel, Word and PowerPoint.
  • Very good organisational and time management along with  strong attention to detail
  • Personable nature
  • Ability to work in ones own and prioritize tasks
  • Ability to confidently interact with all levels of staff / contractors and their visitors
  • We operate Demand Led Scheduling that will be discussed in detail at interview
