Receptionist

Job Introduction

We are currently seeking a highly talented and driven person to work in the one of our Dublin sites.

We are looking for someone with excellent organisational skills, the ability to prioritise their work load and have the ability to communicate effectively with a range of audiences.

You will be working as part of a team but you will at times be expected to work independently and under your own initiative.

Role Responsibility

  • To be main point of contact for site for any site issues.  For the individual to be self-sufficient and able to work alone.
  • To complete no less than once a week a full building walk and to log any issues via the IWMS tool.
  • To ensure that Facilities suppliers are attending site in accordance with the sites planned preventative Maintenance schedule (PPM)
  • Ensure all sub-contractors coming on site adhere to Dell Pre-Task Planning (PTP) & Eazysafe.
  • Advise Facilities Manager of any customer complaint walk-ins to reception, and use the Customer Escalation Process, to ensure that the customer’s issue is dealt with in a timely manner.
  • To ensure that all statistical data that is requested by Facilities Management Supplier for input into the monthly/QBR is provided.
  • To have weekly meetings with onsite PA’s to Management team to provide site updates.
  • To own from a site perspective the monthly updates for the Facilities Newsletter.
  • To be familiar with all departments and key onsite personnel.
  • To greet visitors/customers & to advise host of visitors arrival.
  • To ensure that the visitor/customer sign-in as per Dell policy and procedures
  • Upon departure from site, ensuring that badges are returned and the visitors is signed out the building
  • To arrange as required access to the Dell space for Dell team members
  • Answer telephone calls and transfer to correct person/department
  • As required to complete scanning, photocopying and faxing tasks
  • Manage room bookings– to ensure that rooms are booked for maximum usage and to update signs of door to show Team Members of bookings.
  • Train any relief Reception Cover
  • Support onsite management and team members with various projects and ad-hoc requests
  • Complete any ad-hoc duties as requested
