Receptionist/ Administrator

Job Introduction

Sodexo Energy & Resources has an exciting opportunity for a part-time receptionist to join our HQ in Aberdeen City Centre from 12.30-5pm Monday-Friday.

The Receptionist will ensure that all first line communications to the company (faxes, telephone calls and visitors) are dealt with promptly and efficiently and in a courteous manner and complete administration duties as allocated.

Role Responsibility

  • Using the head office switchboard to ensure all calls are dealt with promptly and efficiently and that all telephone records are kept up to date
  • Accurate and efficient transmission to individual callers for check-in arrangements for offshore deployment including maintaining register for logistics colleagues
  • Welcoming and hosting visitors, ensuring that they sign in and out and watch the safety induction
  • Accurately issuing check in times to individual callers and maintaining a register to be passed to logistics
  • Logging of all incoming parcels, mail and faxes for onward accurate distribution
  • Responsible for ordering and logging all account taxi journeys from the head office including assisting in booking travel for office staff
  • Ordering coffee machine products, staff gifts and cards
  • Place stationery orders and keep stationery cupboards well stocked and in good order
  • Keep reception, kitchen and landing areas clean and tidy
  • Raising purchase orders on Basware
  • Ensuring work is carried out as per the reception handbook and keeping the same up to date if there are any changes
  • Looking for and suggesting any changes to current process to create greater efficiencies for the business and potential cost savings
  • Where possible provide holiday/absence cover for other part time receptionist

The Ideal Candidate

  • Previous experience in a similar role
  • Good communication skills- clear and effective listening and oral skills
  • Strong computer skills and previous experience using word, powerpoint, excel and outlook
  • The ability to accurately record all calls, faxes and visitors is essential
  • A polite and courteous manner
  • Good initiative skills
