Planning Coordinator

Job Introduction

Are you an excellent communicator who thrives in a busy environment? We are currently looking for a Planning Coordinator to join the team at Ascot Racecourse, to provide an effective and seamless liaison between the clients request, the sales team, logistics and all operational departments. You will coordinate the internal administration for all Annual Box Holders, Sublet Clients and Sponsers’ hospitality requirements. This is an exciting, varied position and you will play a key role in the success of our prestigious venue.

Role Responsibility

  • Dealing with a range of different clients requirements alongside the needs of the various departments in our business
  • Supporting the planning team and undertaking any reasonable requests made by the Head of Planning, Senior Planning Manager, Boxes Planning Manager and the Boxes Operations Manager
  • Building strong working relationships with kitchen, cellar and logistics teams to ensure requirements are communicated and updated as necessary in a timely manner
  • To liaise with the kitchen, cellar and logistics teams to ensure all requirements are communicated and updated as necessary in a timely manner
  • Producing table menus for all boxes at Royal Ascot and on Ascot Race days
  • Prepare and complete menu presentation notes in conjunction with the Head Chef for Royal Ascot and Ascot racedays
  • To ensure that all information received directly from an external client or ARL (Ascot Racecourse Ltd) is managed correctly through the system
  • To handle all telephone enquiries with the rest of the planning team

The Ideal Candidate

  • Knowledge and experience in the Events industry
  • Ability to manage multiple tasks and prioritise information in an extremely busy environment
  • Good customer service skills, polite telephone manner and attention to detail
  • Knowledge of Microsoft Office specifically Outlook, Word, Excel, Powerpoint and Publisher
  • Flexible approach to working hours especially on race days
  • Ability to demonstrate organisational skills and attention to detail
