Job Introduction

The Department for Work and Pensions (DWP) is the UK’s biggest public service department, with a property portfolio of over 800 properties. The portfolio principally comprises front of house Job Centres (JCPs) and Medical Examination Centres (MECs), and an Operational and Corporate Centre office estate. Most of the estate is leasehold interest and includes colocation with Local Authority and Central Government bodies. The DWP Estates Directorate (Estates) have recently exited a 20-year PFI contract and have embedded a new operating model transforming the way they deliver real estate services to the Department. As part of the operating model transformation, Sodexo have been engaged as the ‘Integrator’ to work with Estates and their supply chain to identify and deliver service delivery effectiveness and efficiencies. The scope of the Capital Projects activity includes strategic portfolio changes, relocations, lifecycle investment and business driven property changes. As a member of the PMO support team, you will be responsible for supporting the PMO Lead and Programme Managers to manage the full range of PMO activities across a large capital investment programme. This role will be instrumental in supporting the PMO to implement processes and governance to align with the end to end planning and delivery process for all projects from initial feasibility through to financial approval, design, delivery and completion, to ensure projects are delivered on budget, on programme and to a high standard of quality. The scope of the Digital works will include IT infrastructure design and fitout, desktop and peripherals installation and IT decommission activities at the exit properties. The works will be procured and delivered by the DWP Digital Team and their nominated supply chain, however their activities will need to be co-ordinated and reported by the Sodexo Capex Programme team. You will liaise across a broad range of key stakeholders, ensuring they are involved in PMO activities as and when required to support strategic planning, financial analysis, stage gate reviews/sign off and a broad suite of reporting products, including accurate and timely executive reports to inform the key stakeholders and facilitate decision making. You will provide secretariat duties across a range of project working groups and boards to ensure all project records are maintained and accurately updated and you will support the implementation of processes, procedures and good working practices. You will work closely and collaboratively with the DWP and ensure alignment between Sodexo Portfolio Planning and Programme Management Functions and external consultants, contractors and suppliers to deliver successful project outcomes.

Role Responsibility

Professional Responsibilities & Reporting:

  • Day-to-day support of the Capital Projects PMO Lead, Programme Managers and Strategy and Planning team
  • Ensure the successful implementation of the PMO’s strategy, responsibilities, services and deliverables.
  • Update and maintain the RAID Log.
  • Work with Sodexo Finance teams to provide financial reporting.
  • Ensure dependencies are managed and accurately maintained.
  • Build cohesion within the PMO team and motivate them to produce quality work.
  • Prepare regular status reporting to all levels of the project organization.
  • Support the change control process.
  • Support project planning and milestone management.
  • Implement project controls and governance.

Finance:

  • Work with the Finance Business Partner to support in the production of financial trackers and reporting
  • financial reports in CAPEX Programme Steering Group meeting pack

Information Management:

  • Ensure that project information and documentation is securely stored on the agreed systems and is easily accessible by users.
  • Ensure timely and accurate provision and sharing of information.

The Ideal Candidate

The Sodexo Capital Projects PMO Support role requires excellent people, organisation, communication and financial management skills coupled with strong project management skills to ensure the integrity of the individual projects that are within the scope of the CAPEX Programme.  The individual will need to have credibility within the CAPEX Programme Steering Group and wider CAPEX Programme. They will need to be able to influence others and to develop and maintain robust relationships with all members of the CAPEX Programme team and wider Sodexo and DWP staff.
