Job Introduction

We are currently seeking a highly talented and driven person to work in the one of our Dublin sites.

We are looking for someone with excellent organisational skills, the ability to prioritise their workload and have the ability to communicate effectively with a range of audiences.

You will be working as part of a team but you will at times be expected to work independently and under your own initiative.

Role Responsibility

 

An excellent opportunity has arisen for an Administrator (Dublin 2) to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression

 

The successful candidate will work as part of the catering team, providing office administration support to catering staff.

 

Day to Day duties include but are not limited to:

•Working closely with the Manager to provide daily administrative support

•Answering phones, diary & database management, accounts, filing and general admin tasks

•Dealing with incoming and outgoing post, incoming e-mail, faxes

•Monitor visitor access and maintain security awareness

•Eprophit administration & trading

•UDC Billing

•ROL with support from Chef Manager

•Hospitality - Collate service requirements onto weekly schedule

•Collate Helpdesk Log ensuring all maintenance requests are recorded and followed upon

•Collate all Non Conformances daily for reviewing with the Soft Facilities Manager and emailed to Quality Team Monthly.

•Room Bookings from time to time to Include any Hospitality requests and IT requirements

•Monthly Audit of all services:- Customer Care, Complaints/Compliments, Quality of Work, Appearance, Administration - record Keeping/ Bookwork

•Updating Customer Comment log

•Till cover from time to time which entails dealing with clients

•Maintaining catering databases, keeping up to date and inputting details

•Liaising with clients and suppliers

•Preparing and distributing agendas for meetings

•Project support as required

•Processing of delivery dockets daily

•Stock control Management

•To undertake the preparation of reports as needed

•Other Administration Duties as required

•To accept responsibility for specific areas, as specified by the Manager, to ensure the

•smooth running of the catering office.

The Ideal Candidate

The Candidate:

•Previous admin/secretarial/PA experience

•Working knowledge of MS Office including PowerPoint and Excel

•Be a confident, pleasant and friendly communicator, organised, capable of working on own initiative.

•Be capable of performing the job in a multi tasking, multi reporting environment.

•Be a team player and flexible and reliable as part of the role.

•Maintain relationships of professionalism, courtesy, service and trust with staff and client.

•Produce and maintain a high quality standard of work.

•Excellent time management and organisational skills

•Attention to detail

•Candidate must have fluent English and possess a valid work permit.
