Maintenance Coordinator (Catering Equipment)

Job Introduction

Sodexo Energy & Resources is looking to recruit a Maintenance Coordinator to support our Domestic, Electrical & Maintenance Engineers in the provision of maintenance services to our offshore catering equipment.

Role Responsibility

  • Point of contact for all offshore Domestic Equipment Maintenance & Handyman queries and enquiries.
  • Onshore point of contact for DEM Engineers
  • Preparation & Management of DEM Engineers annual rotas
  • Coordinate with unit planners to ensure offshore trips are entered into plan and run to schedule. Discuss with planners, units and operatives any schedule changes that may arise due to operational requirements
  • Coordinate with units, planners, vendor and engineers to arrange cover for engineers in cases of sickness, injury, Extended Field Break or other issues when the scheduled engineer is unable to mobilise
  • Organise any training/competency requirements for the DEM Engineers and ensure are kept up to date
  • Presenting quotes in the correct format to the client for authorisation to order
  • Sourcing & procurement of parts and materials
  • Preparation and tracking of job cards, purchase orders, PMO’s on SAP database
  • Co-ordination of materials deliveries to freight handling agents and client sites, ensuring that all client, transport and legislative documentation requirements are met
  • Provide notifications and updates when deliveries are being made
  • Preparation of shipping invoices, including   sourcing of tariff/commodity codes for all material items, for the procurement of shipping declarations with our registered agent in accordance with UCC Customs Law. For clients who arrive and depart shipments themselves; the same information must be presented with all deliveries without fail
  • Sourcing and co-ordination of rental temporary refrigeration/freezer units for client sites, ensuring all specification and certification requirements are met, and notifications/updates are distributed to all relevant offshore and onshore parties
  • Tracking of servicing dates of life jackets and abandonment suits; coordinate with units and vendor to arrange the mobilisation of a service engineer and materials/temporary replacements hires to conduct the servicing; later review service reports and verify serial numbers of those serviced/shipped match the corresponding paperwork; maintaining master-tracker to ensure all movement and activity is monitored
  • Preparation and submission of monthly DEM timesheet information
  • Goods-Receiving of purchase orders in system, resolving any discrepancies with suppliers
  • Arrange re-calibration of engineer’s test meters & maintain tracker
  • Maintenance of equipment details and specifications in Maximo databases
  • Review of engineer reports and taking the appropriate action with any follow-on issues reported
  • Preparation and submission of monthly billing to Operations Managers
  • Resolution of billing enquiries and disputes
  • Preparation of reports and updates on works for clients
  • Maintain audit trail throughout duration of all enquires
  • Maintain good electronic housekeeping

The Ideal Candidate

  • Previous experience in a customer driven environment
  • Appreciation for facilities management/hard services in the energy industry
  • Clear and effective communication skills (both verbal and written)
  • Post holder requires to be organised and can deal with a number of issues at the same time
  • Ability to accurately record data
  • Good IT skills are essential
