Mailroom Operative

Job Introduction

To work as a member of the Mailroom Team ensuring efficient, effective and proactive running of the mailroom service.

 

To perform a variety of tasks related to the Mailroom function with flexibility, and proactively responding to any client requirements as and when necessary.

Role Responsibility

  • Receiving, sorting and distributing incoming and outgoing mail and shipments
  • Use of franking machines
  • Use of booking and tracking system
  • Dealing with enquiries from the client, face to face, on the telephone and via email/IM
  • Filing and retrieving documents, within an established filing system
  • Booking and receipt of courier items
  • Processing of archive files and tracking signature movements using the onsite computer systems. 
  • Any other duties as required by the Mailroom supervisor | GSM or Client.
  • Possess a thorough understanding of the client’s business & their needs.
  • Identify any potential for business development
  • Ensure compliance in line with company policy’s (e.g. H&S, Information Security & HR).
  • Ensure the standards across the site(s) are in accordance with the Service Level Agreements and Key
  • Performance Indicators specified in the service contract
  • Observe and enforce client and Sodexo policies , procedures and site rules at all times
  • Ensure that all equipment, monies and the overall establishment areas within your control are safe and secure at all times.
  • Ensure that all equipment used, is in safe working order, checked regularly and serviced.  Report any faults to management/client, ensure they are rectified and ensure equipment is not used until safe.
  • Undergo fire and first aid training as required.
  • Attend training courses as required, in order to keep up to date with legislation and company policy and procedure
  • Comply with all Company & Client policies and statutory regulations relating to Health & Safety, safe working practices, hygiene, cleanliness, fire and COSHH. This will include your awareness of any specific hazards in your work place.
  • Carry out other reasonable tasks as directed by management.
  • This job description is intended to give the post holder an appreciation of the role envisaged and the range of duties and responsibilities to be undertaken.  It does not attempt to detail every activity. 
  • Specific tasks and objectives will be agreed with the post holder at regular intervals.
  • The post holder will be required at all times to perform any other reasonable task, as requested by the Line Manager in order to meet the operational needs of the business.

The Ideal Candidate

  • Mailroom operations 
  • Knowledge of Iris and international mailing arrangements. 
  • Customer service and complaint handling. 
  • Ability to communicate effectively in a variety of written and verbal formats with a wide range of people. 
  • Working accurately, under pressure, to tight deadlines. 
  • Good IT skills – Word Processing, Spreadsheets, Databases, Email and Web based applications/tools.
