Logistics /Payroll Support Administrator
Job Introduction
Sodexo Energy and Resources has an exciting opportunity for an experienced Logistics/Payroll Support Administrator to join our office support team based in the Aberdeen head office working office hours.
The successful candidate will be responsible for transacting HR and Payroll administration for a defined scope of offshore employees. They will also ensure the effective and accurate monitoring of staff to be deployed including their movements to and from the offshore units
Role Responsibility
Process timesheet data into SAP, accurately record employee data including payments and absence Manage out of system calculations for sickness and holidays for employees Seek support from Operations, Logistics and HRBPs for advice with complex queries and escalate any potential issues Create and maintain employee data in SAP e.g. new starters, leavers, changes to personal details and changes to terms and conditions Produce and issue relevant correspondence relating to new starters, leavers, changes to personal details and changes to terms and conditions Maintain HR electronic employee records within SAP to ensure they are accurate, up to date and comply with all Data Protection Act and Company specific requirements Liaise with BSS Payroll, PeopleCentre and other departments to obtain necessary information to resolve net pay queries Accurately control the logistical movements of all offshore personnel and the onshore ad-hoc pool Ensure all manual and computerised records are developed, maintained and updated at the agreed intervals and in an accurate fashion Liaise with Logistics Team Lead, Operations Team, HR and Payroll Support Admin regarding any deployment issues (refusal, unavailability, un-contactable, etc.) Assist in the effective management of the Ad-Hoc, PRP, Fixed Relief and Downman pools Update and monitor core crew change rotas and all offshore personnel trackers on a daily basis Effective liaison with Operations Team (offshore) clients representatives, training agencies and HRBP’s Book travel and accommodation for personnel when required Central role within the Emergency Response Team for exercises and real emergency situations Liaise with 3rd party stakeholders ensuring effective deployment of offshore personnel Update and maintain database of certificates, ensuring appropriate personnel are informed of renewal dates Book and register all medicals and internal training courses as per authorized training request forms Create and complete relevant documentation relating to offshore personnel |

Strong understanding of transactional HR and payroll processes, policies and procedures
Strong understanding of how to handle pay related queries
Good understanding of varying client contracts
Awareness of COTA legislation

Excellent organisational skills with ability to work accurately to tight deadlines
Professional respect for confidentiality
Experience of using SAP HR
Knowledge and/or experience of offshore logistics work
Knowledge and/or experience of Aviation Logistics, HR Administration, Training and Competency
