HR Assistant

Job Introduction

We have an excellent opportunity for a HR Assistant at HMP Forest Bank. We are looking for someone with experience in a fast paced administration environment to work as part of the HR team to deliver HR administration activity.

We deliver the total operation of five prisons within the UK and own six Community Rehabilitation Companies in partnership with crime reduction charity Nacro.

HMP Forest Bank serves the courts of Greater Manchester and maintains strong links to the local community with a focus on resettlement. We aim to deliver quality of life services and support people to change their lives for the better.

Opportunities for learning and developing work-ready skills are on offer for all who come in to custody, but our commitment to reducing reoffending in local communities does not end at the prison gate. We support people released from custody through innovative partnerships in substance misuse services in Bury and Oldham, working with people to maintain recovery and lead law-abiding lives.

As well as the 16 residential units on site, there is a healthcare centre, gym, library, workshop complex, visits hall, chaplaincy and kitchen. The prison’s capacity stands at 1,460, holding adult men both on remand or sentenced and young prisoners between the ages of 18-21 years.

Role Responsibility

  • All administration duties for the day to day operations of the HR team.
  • Maintain all required databases
  • Raise purchase orders as required for the HR team.
  • Producing monthly management information, particularly to support payroll reconciliation and contractual reporting.
  • Co-ordinate general queries to the department, directing managers and employees to the PeopleCentre and other on-line tools where appropriate.
  • Act as the main site VCP (Vetting Contact Point) responsible for meeting with applicants, checking the security clearance forms have been correctly completed and that identification documents are thoroughly verified, copied, endorsed, actioned and accurate records are maintained.
  • Identity Checker for the Disclosure & Barring Service (DBS) forms and key contact for any queries or questions on either the DBS or the Security Clearance Forms.  The incumbent will need to liaise closely with the PeopleCentre and ensure accurate records are maintained.
  • Management of ordering name badges as relevant
  • Support on manager interviews for (only where an appropriately trained employee is not available to assist) grievances, disciplinaries and investigations in the role of note taker, providing accurate and well-written documentation in a timely manner after the meeting.
  • Support the annual pay review process
  • Support Initial Training Course (ITC) activity for new PCO’s and OSO’s including liaising with security on vetting queries, booking internal interviews and interview slots and liaising with the Resourcing team to keep on track.
  • Support the non operational Induction process with a focus on the HR induction
  • Manage the vaccination activity on site, liaising with external suppliers as necessary

The Ideal Candidate

Essential

  • Experience in a multi tasked, face paced administrative role
  • Good organisational skills with the ability to work consistently to deadlines
  • Ability to use IT to a good standard eg Microsoft Word, Excel, Outlook
  • Confidentiality and discretion
  • Accuracy and attention to detail
  • Ability to work with different stakeholders and customers

Desirable

  • Previous HR experience
  • Experience of SAP (HR)

Package Description

37.5 hours per week.

Salary £22,000 - £24,000 per annum, 20 days holiday plus bank holidays, pension, free meals on duty and free on-site parking.
