Job Introduction

If you have excellent communication skills, an overview of HR and reporting is your forte read on… We’re looking for a HR Administration Assistant to join our great team on site at University College London to provide administration, analytical, process and policy advice and support to our onsite teams.

Partnering with the Sodexo Catering and Soft Services Facilities Management teams and reporting to the HR Business Partner no two days are the same! This role provides you with the opportunity to enhance and develop your general HR and administration skills in a busy environment, whilst also furthering your career and learning about the operational management of this impressive contract.

You will play a significant role in supporting our managers on site to ensure all HR policies and processes are followed, whilst engaging and interacting with onsite teams to ensure standards of service are met.

With strong communication skills, focus and attention to detail your work will put you at the heart of the business as you effectively support and partner with our teams ensuring to provide a friendly and proactive service. You will also work closely with the HR Business Partner to support some exciting upcoming HR Projects, providing efficient reporting and project support.

You’ll also be able to prioritise workload and take ownership to drive service excellence within your area, being able to challenge with humility where required.

Role Responsibility

  • Ensure that the HR Administration runs smoothly, producing high quality reports and meeting deadlines
  • Provide HR support to the business within a generalist capacity, ensuring managers are liaising with the PeopleCentre (off site HR shared services centre) as required
  • Monitor Right to Work in the UK, absence, DBS and Occupational Health checks in line with policy
  • Provide support on areas such as disciplinaries, investigations and grievances, taking minutes of meetings as required
  • Review sickness and absence, liaising with onsite managers and advising of the formal absence policy as required
  • Produce monthly and ad-hoc reports (run from SAP/UDC)
  • Prepare letters and admin support, including mail merges
  • Assist and partner with the HRBP for HR project work and reports as required
  • Ensure effective HR Administration processes are followed for new starter recruitment and leavers, assisting with exit interviews as required
  • Provide a helpful and efficient HR support service

The Ideal Candidate

What’s essential:

  • Previous HR Administration experience
  • Great attention to detail and accuracy with the ability to co-ordinate workloads
  • Proven IT skills, ability to demonstrate working knowledge of MS Office (Word, Excel and Outlook)
  • Ability to type accurately and input data accurately/efficiently, spreadsheet analysis techniques are a must
  • Experience in working within a unionised environment

  • Able to meet deadlines and work under pressure
  • Experience of being proactive and reactive
  • A desire to develop a career in HR

Where we can be flexible:

  • Experience and understanding of Soft Service Facilities Management / Catering contract
  • Previous experience of working in a university / education environment
  • Experience using SAP / UDC systems
