Job Introduction

We currently have an opportunity for a G2 - G3 Clerk to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

G2

  • Be the first point of contact or Help Desk for all G2/G3 related enquiries.
  • Provide full clerical support to SO2 G2/G3, keeping them briefed on matters of Sy interest that may have happened in their absence, including accurate filing of all documents as required.
  • Staff all notifications for bulk arms moves to appropriate police forces in and out of HQ Col Gar/Bde AOR and maintain a master list.
  • Collate and maintain a security incident register that provides statistics to assist with security briefings.
  • Responsible for the advertising, organisation and admin of Security Training and Threat Briefs in the HQ Col Gar/Bde area.
  • Monitor the Secret Computer. Maintain MOD Form 102 in accordance with JSP440. Ensure appropriate security measures are enforced and documents passed to appropriate authorities in accordance with set timelines.
  • Account for and maintain Protectively Marked Material Registers; act as custodian for security keys and combinations ensuring units rotate them biannually.
  • Provide advice and guidance to Regular Units in the completion of the Annual Establishment Security Self Assessment (ESSA). Collate results of Units’ ESSA and produce and maintain relevant spreadsheet in support of Garrison Security Risk Register.
  • Maintain filing of Public Military Events (PME) paperwork within the HQ Col Gar/Bde area of responsibility in co-ordination with the MI Sec.
  • Deal with incoming and outgoing mail, maintaining the branch E Filing documents, scanning, photocopying, faxing, destroying etc.
  • Dissemination of security policy throughout the HQ Col Gar/Bde areas including annual reports and returns as directed by SO2 G2/G3 Security.
  • Assist the Personnel Vetting Records Officer for the HQ Col Gar/Contractors AO. Apply for DV, SC and BPSS vetting clearances.  Update Vetting Register, file all security clearances and ensure that the relevant organisations are informed.
  • Arrange and attend all Security Service Working Group meeting. Maintain a Records of Decisions and Action Plan and then distribute to all group members.
  • Issue and maintain a register of vehicle passes for the HQ Colchester Garrison Car Park.
  • Point of contact for personnel applying for Dependants’ Passes and recording the details on a Dependants’ Pass spreadsheet.
  • Record Registered Guests’ details on Registered Guests’ spreadsheet once they are received from the Main Reception Centre and inform SO2 G2/G3.
  • Record lost Identity Card details on the Lost Identity Card spreadsheet and inform SO2 G2/G3.

 

G3

  • To support SO2 G2/G3 (Arms Control Officer) with Conventional Forces Europe matters circulating policy received from Joint Arms Control Implantation Team and prepare for visiting inspection teams.

 

G1

  • Dissemination Court Martial administration instructions to all Units that are committed to this task and conduct trawls when Units submit penalty statements to that the court is supported.

 

DPA

  • Provide support to all Asset Owners keep them informed, and ensure that they regularly log on and review assets.

 

General Duties:

  • Other general duties in accordance with Staff Duties for Administrative Support Staff (Para 1.1, Appendix 3, Section 7 of Part 3 to Schedule 4 of the Project Agreement)
  • Support the Garrison Commander in the absence of the personal secretary.

The Ideal Candidate

Essential

  • Experience of Microsoft Word, Excel and Outlook.
  • Good telephone manner.
  • Good communication skills.

 

Desirable

  • Previous administration experience.
  • Understanding of Military organisation and structure.
  • Knowledge of local area and personalities.
