Facilities Coordinator

Job Introduction

We are currently seeking a Facilities Coordinator to work in one of our Dublin sites.

We are looking for someone with excellent organisational skills, the ability to prioritise their workload and have the ability to communicate effectively with a range of audiences.

You will be working as part of a team but you will at times be expected to work independently and under your own initiative.

Role Responsibility

  • Ensure the delivery of the services within the site whilst ensuring customer requirements are met and their needs are anticipated at all times
  • Ensure appropriate supervision of the service teams within area of responsibility, delivering the services identified in the statement of works, and ensuring that all service requests are allocated, resolved and closed out accordingly
  • Engage in local Customer interaction and foster long term profitable relationships
  • Support the FM in meeting financial and performance targets, ensuring action plans are in place and completed for any non-conformance
  • Ensure timely and accurate reporting of data
  • Ensure any communications are timely, accurate and promote Sodexo’s core values
  • Monitor compliments and complaints (VOV/VOP), completing investigation of root cause and action plans to resolution
  • Participate in the development of and implement standards for each work group within area of responsibility to ensure compliance with relevant Legislative, Company, Regulatory (GxP) and Safety regulations
  • Monitor all groups within area of responsibility to ensure that they operate safely and that all appropriate risk assessments, documentation, procedures and audits are in place
  • Assist the FM Manager with recruitment as per the company’s policies and procedures
  • Carry out inductions and training as per the company’s requirements, including in-house and “Great” training packs and in line with the Site Training Plan
  • Support and deliver the implementation of the Customer Plan and Customer Service Strategy to all staff within area of responsibility
  • To take all necessary steps to ensure security of the Client’s Facilities within area of responsibility.
  • To ensure the welfare of staff, and provide support to where relevant within the unit environment
  • To hold regular staff meetings and toolbox talks to ensure clear communication within the team, ensuring that they are noted. Where actions arise from these meetings ensure that they are completed and recognised where possible
  • To report and ensure appropriate action taken for any incidents of accident, fire, loss, theft, damage, unfit food, or any other irregularities
  • To attend and actively participate in Comm cells, meetings and training courses as required.
  • Actively seek and identify opportunities for business growth within the contract
  • To assist with reception duties as required
  • To monitor tea and coffee stations and replenish as needed.
  • Carry out minor repairs as required

  • High moral standards with absolute integrity
  • Working to and achieving targets set
  • Experience within a customer-facing environment

32 hours per week

Monday to Thursday - some Fridays
