Event Coordinator
Job Introduction
We are currently seeking an Event Coordinator to work in the one of our Dublin sites.
We are looking for someone with excellent organisational skills, the ability to prioritise their workload and have the ability to communicate effectively with a range of audiences.
You will be working as part of a team but you will at times be expected to work independently and under your own initiative.
Role Responsibility
- Specialise in a particular type of event or work on a range of different events;
- Liaise with internal customers to scope and align requirements for all events in North Wall Quay and Spencer Dock;
- Produce detailed proposals for events i.e. timelines, venues, suppliers, legal obligations, staffing and budgets;
- Research venues, suppliers and contractors, and then negotiate prices and hire;
- Manage and coordinate suppliers and all event logistics, e.g. venue, catering, travel;
- Liaise with sales and marketing teams as well as internal communications team to publicise and promote the event;
- Manage all pre-event planning, e.g. organise guest speakers, delegate packs, etc.;
- Coordinate suppliers, handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly and to budget;
- Organise facilities for car parking, traffic control, security, first aid, hospitality and the media;
- Verify that insurance, legal, health and safety obligations are followed;
- Oversee the dismantling and removal of the event and clear the venue efficiently;
- Produce post-event evaluation to inform future events;
- Research opportunities for new clients and events;
- Develop, produce and deliver short term and long term projects from proposal right up to delivery;
- Manage operational and administrative functions to ensure specific projects are delivered efficiently;
- Set, communicate and maintain timelines and priorities on every project;
- Deliver events on time, within budget, that meet and hopefully exceed expectations;
- Be responsible for all project budgets from start to finish;
- Working with Public Procurement guidelines; tender and evaluate suppliers for the delivery of events;
- Communicate, maintain and develop client relationships;
- Travel to on-site inspections and project managing events;
- Provide leadership, motivation, direction and support to your broader team;
- Ensure excellent customer service and quality delivery;
- Report on a monthly and bi-annual basis to internal management working groups, task forces and committees;
- Develop the function of events management to meet with future requirements

This is a high profile establishment so a good level of English alongside the correct attitude and personal presentation are required.
