Contracts Administrator (Vendor Governance Operative)

Job Introduction

As Vendor Governance Operative (Contracts Administrator) you'll provide a high quality service to internal and external stakeholders across the Sodexo Business, responding to issues and queries concerning Vendor Governance policies and procedures and the Sodexo approved supply chain.

You'll maintain supplier contracts and contract administration processes. This is an excellent opportunity to join a dynamic team and use your communication and administration skill set.

This role sits within Sodexo’s Supply Management function, part of the wider Service Operations platform. This is the part of our business that supports Sodexo’s segment development by providing expertise and process standardisation across the market segments in which Sodexo delivers services. Service Operations leverages our global expertise and best practice to bring the best of Sodexo to all of our clients. It includes everything from FM expertise to food development through to bid support, health and safety, and contract design and management.

 

Role Responsibility

Provide a high quality service to internal and external stakeholders across the Sodexo Business, responding to issues and queries concerning compliance to Sodexo’s Vendor Governance policies and procedures and the Sodexo approved supply chain.

Follow the principles of risk management in Sodexo’s risk management framework and utilise the tools and processes which govern the contractual relationships and vendor management requirements.

  • Maintain supplier Contracts in line with the Vendor Governance contract processes, adhering to Sodexo’s policies and requirements.
  • Provide contract administration support to Category Managers (Buyers), Finance and Legal teams.
  • Support the management of Sodexo’s supplier Pre-qualification questionnaire (PQQ) process and maintain key documentation such as insurance, quality assurance and health and safety policies.
  • Participate in the scheduling and management of food safety audits and assessments in collaboration with Sodexo’s internal health and safety division (Safegard).
  • Maintain Vendor Governance systems, databases, spreadsheets, documents and files in a timely and accurate manner.

 

 

 

The Ideal Candidate

Essential Skills

  • Previous administration experience in a busy office environment
  • IT literate with experience of Microsoft office packages including Outlook, Word, Excel and Powerpoint
  • Effective written and oral communication skills
  • Collaborative team working skills
  • Ability to plan and organise multiple tasks in a fast paced office environment
  • Ability to prioritise workloads effectively
  • Good practical and problem solving skills
  • Qualified with GCSEs C Grades (or equivalent) in Mathematics and English Language

 

Desirable Skills

  • Proven experience in a contract administration team
  • Experience in using application systems, databases and cloud based platforms
  • Experience within a procurement or supply chain environment
  • Looks for continuous improvement in process and performance
  • Experience with delivering within SLAs
