Conferencing Operative

Job Introduction

We currently have a new opportunity for an experienced Conferencing Operative to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • Manage and maintain all meeting rooms and events

  • Act as a point of liaison for customers in respect of non-standard meetings/events and the services they require.

  • Produce events sheets for each non-standard meeting that can be shared with service partners to ensure smoothly run events.

  • Proactively monitor the room booking system (Meeting Manager) to identify and approach customers to provide assistance

  • Maintain a rolling plan of events outside of standard meeting spaces

  • Production of weekly plan with appropriate daily amendments for Facilities Services Managers and Floor Managers to assist them in understanding demand in their zones.

  • Ensure rooms are correctly set-up prior to meetings across the site working with Facilities Operatives to support where required.

  • Production of daily meeting room signage and distribution to zones ready for timely insertion at meeting room doors by Facilities Operatives.

  • Co-ordination and where appropriate, placement of signage for specific meetings or events, including non-standard areas both internally and externally across the site

  • Management of site notice boards and communication areas in line with customer requests.

  • Play an integral role in the GSK Meeting Service Line, delivering data and attendance at team huddles at  Stevenage where required

  • Track all VOC and report back accordingly.

  • To provide “best practice” advice to the customers and implement new procedures as required in respect of non-standard meetings

  • To provide operational advice and guidance to Facilities Operatives in respect of basic room checks

  • Provide support to the AV team in respect of VTC ‘meet and greet’ during peak periods

  • Assist colleagues in the AV team during peak periods of activity, if required. 

  • Carry out & complete any Helpdesk requests within the set time frames escalating to line management for support as required.

  • Demonstrate a high standard of personal hygiene, appearance, ensuring the company uniform issued is worn at all times

  • Adhere to all company & client policies, procedures, site rules and regulations. Comply with all company & client procedures relating to Health & Safety & safe working practices.

  • As and when required, assist with other tasks within your capabilities

  • Attend training sessions as and when required.

  • Start work on time and adhere to break times

  • Represent and promote the Company wherever possible.

The Ideal Candidate

  • Strong customer services skills and experience
  • Service orientated attitude combined with innovative thinking
  • Strong team player within a high quality customer service operation
  • Knowledge and awareness of the Facilities Industry
  • Be self motivated and work under pressure to balance conflicting deadlines is essential
  • Communicate effectively with a wide range of customers and multi-service team service personnel to achieve results
  • Ideally knowledge and experience of working in an environment supporting multi site large events where technology is routinely used
