Conference Centre Receptionist

Job Introduction

Providing a Front of House service within reception, you will be playing an instrumental role in delivering excellent customer service to both internal and external clients.

Role Responsibility

  • To provide an excellent reception service, ensuring all customers are attended to in an excellent manner.

  • To answer and manage internal and external calls received, resolving customer queries effectively and efficiently in a polite and courteous manner

  • To check and ensure all the facilities in the area (Travellers Lounge, Well Being Centre and Breakout areas)  are clean, tidy and ready for customers

  • To give immediate attention to every customer upon approach

  • To respond to all customer and client service requests and queries effectively and efficiently in a polite and courteous manner, ensuring that requests and queries are met / logged / recorded and the appropriate supporting parties are advised accordingly.

  • To ensure the conference rooms are neat and tidy for all the meetings at the Conference Centre.

  • To monitor any “No Shows” and act according to procedure.

  • To report any equipment faults, maintenance requests etc. using the remedy system.

  • To assist in additional bookings of meetings and conference rooms and booths by mail, telephone and at the desk.

  • To assist the Video Conference Team with enquiries, reservations and Meet and Greets when required.

  • To update VIN screens on a daily basis.

  • To work closely with the Audio Visual, Hospitality and Housekeeping teams to ensure all the meetings in the area run smoothly and facilities are kept up to the highest standard.

  • To use questioning and listening techniques to identify customer requests /queries and action accordingly.

  • To maintain awareness of service levels and delivery of objectives.

  • To promote our Client and Sodexo acting as an ambassador when carrying out all duties.

  • To be punctual, reliable, excellently presented in uniform and adhere to appropriate shift patterns.

  • To keep up to date with events to ensure that customers receive accurate and consistent information.  

  • Contribute/ assist in championing the needs for continuous improvement.

  • To be receptive and adaptive to change in a fast moving environment.

The Ideal Candidate

  • Good working knowledge of MS Office
  • Excellent communication skills, both verbal and written
  • Professional and courteous telephone manner
  • Experience of delivering excellent customer service both face to face and over the telephone
  • Right to work in the UK without restriction
  • Ability to liaise with people at a Senior Level

 

Desirable

 

  • 5 GCSE’s A-C (including Maths & English) or equivalent
  • Knowledge of customers services principles and practices
  •  Knowledge of administrative and clerical procedure
  • SIA Badge
