Centre Administrator

Job Introduction

  • To effectively administrate and load Command Leadership & Management (CLM) bids for Colchester Garrison’s AOR (Area of Responsibility) and provide primary clerical assistance and administrative support to 18 AEC’s Headquarters.
  • As the sole point of contact (POC) for CLM courses within Colchester Garrison’s AOR, time critical administrative processes must be actioned accurately and to specified timeframes.
  • The Centre Administrator must proactively seek to fill all CLM courses and efficiently manage course amendments.
  • Enquiries will be answered effectively and clients will be satisfied.
  • Administrative tasks will be undertaken in a timely manner to ensure that courses, workshops and other events run smoothly.
 

Role Responsibility

  • Administrate and load CLM and soldier education courses in accordance with Ministry of Defence (MOD) policy.
  • Manage pre and post course administration for all military courses.
  • Maintain effective communication with Colchester Garrison’s individual Unit Career Management departments.
  • Provide 1st line course loading advice to Service personnel.
  • Provide first point of contact assistance for all personal development and military education opportunities.
  • Update and record learner records on Joint Personnel Administration (JPA) and Microsoft SharePoint databases as required.
  • Ensure course material is up to date and well stocked.
  • Ensure that the CLM and admin office noticeboards are relevant and organised.
  • Co-ordinate administrative support for all ad hoc programmes and examinations.
  • Complete data returns for 18 AEC and Educational and Training Services (South) Headquarters (ETS(S) HQ) as required.
  • Book fleet/hire car transport for 18 AEC as required.
  • Take minutes for meetings as directed by 18 AEC’s OC or Group Manager.
  • Inform the Line Manager of any building/IT deficiencies and act as the nominated person for the fault reporting helpdesk, reporting any issues in a timely manner.
  • Provide administrative support as and when required e.g. filing, photocopying, typing, faxing and other relevant administrative tasks.
  • Take messages and distribute mail to relevant departments.
  • At the direction of relevant Authority Personnel perform general duties in accordance with the Staff Duties for Administrative Support - Training Support Posts (Paragraph 1, Appendix 3, Section 12 of Part 3 to Schedule 4 of the Project Agreement)
 

The Ideal Candidate

  • 5 GCSEs Grade A-C, or equivalent
  • Excellent verbal and written communication skills
  • Excellent organisational skills
  • Excellent interpersonal skills
  • Ability to work to tight timeframes
  • Good IT skills

 

Desirable

  • NVQ in Administration
  • IT qualification (e.g. ECDL)
  • Experience working in a military environment
