Job Introduction

We currently have an opportunity for a Administration Support to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • Organise and schedule meetings and appointments, including booking and refreshments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters and forms
  • Assist in the preparation of regularly scheduled reports
  • Book travel arrangements
  • Provide general support to management team

The Ideal Candidate

Essential

  • Be a team worker with a flexible approach
  • Have excellent IT skills
  • Strong attention to detail
  • Excellent time keeping, organisation, planning and scheduling skills
  • Excellent oral and written communication skills able to communicate with clients and team
  • Competent with Microsoft office applications
  • Have excellent note taking skills
  • Self- motivated
  • Previous administration experience.

Employee Administration:

  • Follow the ID card process in a timely manner to allow employees/visitors to gain the right access to the people we support in accordance with safe practice and chase passes that haven’t been returned.
  • Keep all employee records up-to-date by accurately logging new data onto the employee spreadsheet electronically.
  • Having the responsibility to help employees with reports about any building faults and raise a job (helpdesk) to the right team.
  • Have the responsibility of managing the site services on managers absence such as: responsible for the team, help with cleaning, be on call during the day, vending issues, dealing with other site issues and the responsibility to collect a visitor from reception that comes on site.
  • Have the responsibility to take the money from the vending machines and be able to cash count and fill the correct Sodexo paper work and supporting in closing the account books.
