Role Responsibility

  • Organise and schedule meetings and appointments, including booking and refreshments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters and forms
  • Assist in the preparation of regularly scheduled reports
  • Book travel arrangements
  • Provide general support to management team

Essential

  • Be a team worker with a flexible approach

Job Purpose

AstraZeneca is a leading pharmaceutical Company with a strong focus on the research and development of new drugs.

To support the UK Administration Manager to deliver and administrate an IFM function that supports the delivery of ‘One Sodexo’ IFM across all zones and services across the UK. To support the UK Administration manager in the service delivery of site administration. Deliver a proactive administration model to support the development of the contract across all services. Support the Zonal Management framework in delivering 100% compliance in Sodexo, AZ and regulatory matters.

 

 

 

 

Accountabilities or “What you have to do”

  • To support the UK Administration Manager in delivery of an IFM function with a flexible approach that can support all aspects of the operational service delivery.
  • Responsible for service delivery for all aspects Sodexo activity in the area, interaction with local customers to ensure high level of customer satisfaction and service delivery improvement initiatives. Follow up any

customer complaints.

  • To assist the UK Administration Manager in the delivery of good site budget management.
  • Assisting in good SHE compliance and completion of inspection remedials.
  • To support the UK Administration Manager to implement site service or process improvement initiatives.
  • Carry out accounting and administration tasks in accordance with Company policies and procedures and complete in line with the Sodexo Way compliance standards.
  • Ensure that data requiring manual and electronic returns to Data-centre, are despatched at the appointed times.
  • Inform the UK Administration Manager of any deficiencies or surpluses on cash takings, floats or stocks and any other irregularities that may appear in the accounting or administration systems.

 

 

 

 

 

Key Performance Indicators (KPIs) or “What it will look like when you are doing the job well”

  • Support the UK Administration Manager to achieve all C/KPI’s green or associated action plans for any ambers / reds.  No reds 2 months in succession.
  • Support the UK Administration Manager to achieve Labour Productivity/Management targets.
  • Support the UK Administration Manager to achieve Client and Customer satisfaction scores.
  • Support the UK Administration Manager to ensure internal compliance standards will be met and adhered to.
  • Accurate and timely completion of weekly and monthly UDC Payroll.
  • To deliver a consistent level of service within the company standards to the contract specification and agreed performance, qualitative and financial targets.
  • To support the UK Administration Manager to achieve a green safegard audit.

Knowledge, skills and experience

Essential

  • Knowledge and experience of SAP MM/ Eprofit/ UDC
  • Excellent organisation and communication skills
  • Ability to work within tight deadlines
  • PC literate with experience in Microsoft office applications including outlook/word/excel

 

Desirable

  • Previous experience in administration role
  • Experience working in a confidential environment
  • NVQ in business administration
  • The role holder will have an understanding of the customer business operations for their area, and will understand the operating model of the AZ business
  • The role holder will have a strong customer service management background

This position will be a key part of a one team approach to providing a quality customer experience for the users of the office environment on site.
