Accounts Supervisor CPU

Job Introduction

We currently have an opportunity for a Accounts Supervisor CPU to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

Contract and company compliance

  • Ensure that robust control procedures are maintained so as to minimise wastage.
  • Ensure authorisation is obtained from Manager prior to undertaking any additional services.
  • To maintain all areas of responsibility to the set service standards and in line with applicable service offer

 

Hygiene, Health and Safety

  • Comply with all company and client policies, site rules and statutory regulations relating to health and safety, safe working practices, hygiene, cleanliness, fire and COSHH. This will include your awareness of any specific hazards in your work place and correct utilisation of required personal protective equipment.
  • To follow all Company procedures with respect to food safety, quality and health & safety standards
  • Report all faulty equipment, dangerous working practices and occurrences to your line manager
  •               immediately
  • Attend to and take all necessary action, statutory or otherwise, in the event of incidents or accident, fire, theft, loss, damage, unfit food, or other irregularities and take such action as may be appropriate

 

Personnel and Training

  • Comply with all relevant Sodexo and client policies and procedures
  • To attend performance development reviews with your line manger to agree and take ownership of your training and development needs
  • To ensure that your team’s PDR’s are completed and agree development activities
  • Attend team briefs, huddles and meetings
  • Attend company training courses
  • To continue to develop one’s own skills and knowledge within the position, including any required training courses
  • Active involvement, promotion and support of activities aligned towards employee engagement

 

General Responsibilities

  • Receipt of all deliveries on to the Eprofit system.
  • To care for all available resources including equipment, materials and supplies as directed
  • Processing invoices, credit notes and EDI’s
  • Carry out regular stock checks as directed by your line manager.
  • Ensure that all work areas are kept clean, tidy and safe.
  • Strict adherence to CPU factory hygiene procedures.
  • Correct wearing of PPE in line with CPU requirements at all times.
  • To keep accurate records as required for any given activity within the CPU.
  • To follow company procedures with respect to food safety, quality and Health and Safety.
  • Report all faulty equipment and dangerous working practices and occurrences to a member of the management team immediately.
  • To support the daily nominated driver in all requirements of transport/delivery/road safety.
  • To follow all Company procedures with respect to food safety, quality and health & safety standards.
  • To be fully flexible to the needs of the CPU.
  • To maintain excellent client/customer relationships
  • To attend team briefs, huddles and meetings as required
  • To attend your performance development review to discuss job standards and agree development activities
  • To provide support for any additional ad-hoc services provided as required, for example administrative or office support
  • To carry out any other reasonable tasks and/or instructions as directed by management
  • Process all information with discretion and strict confidentiality in order to comply with data protection and other security requirements.

Risk, governance and compliance

  • The role holder will ensure that these processes are fully applied, complied with and adhered to within their assigned operational business area. Where applicable cash and stock company procedural compliance is a requirement.
  • Responsible for overseeing their assigned operational business area and managing compliance with legal, regulatory and company requirements including the defence quality management system (DQMS). 
  • The role holder will effectively manage continuous improvements, taking corrective action where necessary and informing their line manager of performance issues.
  • Ensure robust health and safety procedures are implemented, reviewed and reported on a regular basis

Financial management

  • The role holder is required to contribute to the financial performance of their business area. This is achieved through effective control of all equipment and supplies including transfers, credits, invoices and EDI’s.
  • Ensure that all required weekly/monthly reports are provided to the relevant party in order to be able to present the weekly/monthly financial position of the CPU
  • Ensure that the accounting system (Eprophit) is kept up to date to provide accurate information to key stakeholders as required
  • Collect and accurately record all revenue
  • All monthly reports and reconciliations are produced free from error and within given timeframes to the relevant parties

Relationship management client and team

  • The role holder is responsible developing and maintaining good business relationships with clients and customers. The role holder must seek to resolve any concerns or complaints raised and escalate to their line manager as appropriate.
  • Ensure that all written communication represents a professional image to customers, clients and staff

 

Service excellence

  • The role holder will be responsible for driving all aspects of service excellence across their operational business area including brand integrity, quality, compliance, Sodexo’s corporate social responsibility and service standards. The role holder will ensure that work is appropriately recognised.

 

Continuous development

  • The role holder should look for improvements and efficiencies at every opportunity to increase sales and/or reduce costs. These should be reviewed with their line manager to establish feasibility and create a plan of action.
  • Responsible for the recruitment, induction, performance, twice yearly review and development of assigned employees and will manage the performance of those employees and support other department managers to achieve this, in line with Sodexo HR policy and procedures.

The Ideal Candidate

  • Demonstrate previous experience of transaction processing in an accounts environment
  • Excellent standard of literacy and numeracy
  • Excellent knowledge of written and spoken English
  • Customer service focused and committed to providing a helpful, prompt, responsive service
  • Very good practical knowledge of Microsoft Office (Excel, Word, Outlook)
  • Well organised with a strong ability to work to tight deadlines
  • Accurate data entry skills with excellent attention to detail
  • Good interpersonal and communication skills with proven experience in dealing with a wide-range of individuals/teams at different levels, including an excellent telephone service

Desirable:

  • Experience of working within military environment
  • Previous experience in a client-facing role
  • Accounting software experience
