Business Support Manager

Sodexo are recruiting for a Business Support Manager to provide efficient, effective and professional support to the Sodexo Account management team for a fantastic client account.

The Business Support Manager will have a key role in our structure which will involve interfacing with senior managers and clients in the UK and internationally. You will have exposure to confidential information, which will require considerable use of professionalism, judgement, discretion and diplomacy.

As Business Support Manager you will assist in implementation of policies, support the production of documents, reports and presentations. You will also lead and assist with booking of events, travel and where appropriate record minutes and capture key actions for the team. Your duties will be wide ranging and therefore will need a highly organised individual to support the team; ideally you will be confident, assertive and personable.

Role Responsibility

  • Coordination and administration of activities to support the central account team and clients
  • Support the implementation and maintenance of a standard training matrix across all sites.
  • Use data i.e. KPIs, SLAs to help advise the site teams on changes, best practice, simplification or harmonisation.
  • Proof reading, editing, documentation review as required
  • Coordinate and liaise with internal and external resources or clients
  • Work with country contacts to obtain information or cascade requests as required to meet deadlines
  • Researching and compiling reports and presentations
  • Driving the interaction and working practices of the Sodexo leadership team
  • Providing support to individual executives and management team members.
  • Responsible for researching, compiling and maintaining special reports, presentations, contact details, organisation charts, etc.
  • Responsible for different communication tasks., ensuring information is cascaded to internal teams and client as required  
  • Produce and update Excel spread sheets, manage databases and document management systems, for example SharePoint.
  • Arranging business critical internal/external events.
  • Managing administration activity on behalf of individual executives and/or Management team members, including organising meetings, meeting facilities and take care of the follow-up activities (e.g. distributes meeting minutes and presentation materials).
  • Plan and arrange complex travel itineraries, schedules and processes expenses. Systems IT Administrator and systems developer for account tools, as well as  Project management for internal IT projects 
  • Developing and delivering training on a one to one and group basis for internal and external clients, and maintaining a register of training needs and records
  • Facilitating client calls
  • Managing process and ensuring compliance within our account and our clients
  • Development of new process and tools for the account
  • Working with the Finance and QHSE teams to ensure correct reporting data and account compliance
  • Dealing with enquiries from site, central and clients

The Ideal Candidate

Essential

  • Previous experience of having managed a range of support functions & demonstrating leadership skills with the ability to improve organisational effectiveness.
  • Proficient with Microsoft office applications (including Outlook, Word, Excel, Publisher, PowerPoint and Visio).
  • Excellent numerical and verbal skills.
  • Excellent communication, organisational and administration skills, including editing and a keen attention to detail.
  • An understanding of the requirements and implications of working for an international team.
  • Have worked in an environment where confidentiality is important.
  • Articulate and thorough, showing attention to detail.
  • Ability to be resilient and adaptable.
  • Good standard of general education.
  • Ability to work both independently and as part of a team.
  • Pro-active, demonstrating initiative and anticipates needs.
  • Proven experience within a similar role, working with an extremely busy team and with very high standards.
  • Previous experience in multi-country or multi-cultural teams would be an advantage.
  • Constantly raises the standard and quality of work, benchmarking against best practice.
  • Demonstrates discretion and ability to deal with confidential issues.

Other relevant information

  • Occasional travel and overnight stays will be required
  • To attend meetings and training courses as requested.
  • This job description is intended to give the post holder an appreciation of the role envisaged and the range of duties and responsibilities to be undertaken.  It does not attempt to detail every activity.  Specific tasks and objectives will be agreed with the post holder at regular intervals.  The post holder will be required at all times to perform any other reasonable task, as requested by the Line Manager in order to meet the operational needs of the business.
