Accommodation Assistant

Job Introduction

Role Responsibility

  • To process applications for Transit Accommodation (TA) only received via HQ LONDIST where availability allows through utilisation of Single Living Accommodation (SLA) allocated for provision of TA
  •  Support the management of Transit Accommodation in London
  • To provide support for HQ London District and act as the primary focal point for problem solving in the listed areas of the contract.  To make recommendations and create long term systematic solutions both for the contract period and for the future development of Temp Accommodation in the prescribed military environment.
  • To produce regular reports on the service delivery, highlighting recommendations to improve future efficiency and standards.
  • To develop, collate and analyse monthly statistical reports in association with HQ LONDIST and to utilise them as a planning tool for the improvement of existing and the execution of future service offers.
  • To encourage innovative ideas and solutions to solve operational problems.
  • Inspection and cleanliness of all TA.  Liaison and contract monitoring of cleaning staff to ensure the standard of TA cleanliness is maintained.  If extra cleaning is required, ensure additional cost is calculated and charged iaw appropriate working procedure.
  • The receipt and verification of bookings received for TA in liaison with HQ LONDIST iaw appropriate work procedure maintaining daily liaison with SO3 G4 Accn.
  • Maintain an accurate Master Booking Register, to include all future bookings, and highlight possible problems that may arise at the earliest opportunity.
  • Carry out forward planning and allocation of TA, avoiding clashes between parties’ iaw room allocation rules and appropriate work procedure.
  • Maintain a daily nominal role of visitors in TA accommodation. This is to be easily accessible in case of emergency or compassionate reasons.
  •  Act as the point of contact for all visiting parties and ensure; All personnel in TA are given an arrival brief to include Health & Safety issues. All parties over 10 personnel appoint a nominated point of contact, to be accompanied into TA and invited to sign for allocated TA on arrival. All parties over 10 personnel are accompanied out of TA at an agreed time. This may be extended to smaller parties at your discretion. Accommodation occupied by parties over 10 personnel is inspected daily in order to maintain cleanliness and discourage abuse or damage.
  • That any corrective action required after such an inspection is followed up as a matter of urgency and the Supply Manager is appropriately notified.
  • That any damage or extra cleaning required at the end of a parties’ occupation of TA is highlighted to the party prior to departure and that they are informed that appropriate recovery action will take place.
  • The nature of TA utilisation is such that the individual will be required to cover unsociable working hours outside of the normal core daily working hours.  There will also be a requirement for the individual to cover demands for TA at weekends and as such it is envisaged that the min 36 hours working week will be split across a variable working week ie working 5 days in 7 on rotation as required.

The Ideal Candidate

Essential

  • Demonstrate experience of working in a similar role within the service industry at a comparable level in a company
  • Good numerical and communication skills, must be able to demonstrate effective verbal and written communication
  • Management knowledge of health & safety
  • Able to work on own initiative
  • Able to demonstrate working knowledge of MS Office (Word, Excel and Outlook)
  • Able to demonstrate attention to detail and adherence to standards
  • Analyse problems analytically, develop opportunities and implement innovative solutions

Desirable

  • Experience of working in a military environment
